Understanding how to craft reports and proposals that capture attention is crucial. Reports can take many forms and serve various purposes. Whether you’re tasked with analysing a product, managing inventory, conducting feasibility studies, or addressing other topics, report writing is a skill you’ll frequently employ.

Establishing a systematic approach to prepare these documents will enhance your efficiency. This course aims to strengthen your foundational writing skills, enabling you to present information effectively in formal, informal, and proposal formats.

Course Content

THE STAGES OF REPORT WRITING
Breaking down a report into four stages—Investigating, Planning, Writing, and Revising—makes the process more manageable. In this session, we will cover how to gather information, organize findings, draft the report, and refine the content for clarity and accuracy. We will also integrate the four C’s—clear, concise, complete, and correct—into each stage to improve report quality. By following this systematic approach, the task of writing a report becomes less overwhelming and more structured.

THE FIRST STAGE – INVESTIGATING
In this session, we will talk about how to gather accurate information for a report, and how to choose what to include and exclude. This knowledge is then applied to a quick exercise.

THE SECOND STAGE – PLANNING
In this session, we will review some of the most common report formats, including the memo report, letter reports, and formal and informal reports. Participants will then apply their knowledge to their pre-assignment report.

THE THIRD STAGE – WRITING
In this session, we will review nine rules for writing, and then practice each rule by rewriting some problem sentences and paragraphs.

THE FOURTH STAGE – REVISING
In this session, we will introduce a checklist to help review writing, and then get experience with the practical side of spelling.

USING HEADINGS
In this session, we will learn about using headings and subheadings to break up text, and to give readers a break too.

USING CHARTS AND GRAPHS
In this session, we will explore some different types of illustrations and how they can support a presentation or proposal.

THE PROPOSAL
In this session, we will learn how proposals differ from reports, and how to write them using helpful tips and techniques.

PERSUASION
In this session, we will outline the steps in the persuasion process, and what to add in order to convince readers to take a certain course of action.

PRACTICAL APPLICATION
In this session, participants will review their work and apply a checklist for review. This is an excellent way to ensure that no steps are missed.

GIVING CREDIT
In this session, participants will learn the essential steps of citing sources properly and giving credit where it is due.

WRITING REPORTS AND PROPOSALS QUIZ
This quiz evaluates participants' understanding of key elements in writing effective reports and proposals, focusing on structure, clarity, and persuasive techniques. By completing the quiz, individuals will enhance their skills in crafting professional documents that convey information clearly and drive action.
