What is 5S?
The 5S system is a Lean manufacturing tool designed to create a clean, safe, and organized work environment. It consists of five steps, each starting with the letter S: Sort, Straighten, Shine, Standardize, and Sustain. This process can be applied at individual workstations, throughout team areas, or across an entire organization. While many templates and checklists are available for implementing 5S, it is advisable to customize them to suit specific workplace needs.
Preparing for 5S
- Gather the team.
- Ensure all team members have received process and safety training.
- Appoint a team leader.
- Inform others in the organization about the initiative and any support needed from departments like maintenance or IT.
- Establish a supply area with necessary materials, such as signs, red tags, cleaning supplies, paint, labels, markers, and tape.
- Create a red tag area for items that may be removed from the workspace.
Sort (Seiri)
- Sort through items in the work area, grouping them based on usage frequency, urgency, and size.
- Place frequently used items in easily accessible locations.
- Store items that are used regularly but not daily in convenient storage areas.
- Use red tags for items that are less frequently used, noting the item name, quantity, original location, and relevant details. These items should be placed in the red tag area for review after five and thirty days, where they can be retrieved or discarded as necessary.
- Develop a plan to maintain a tidy workspace.
Shine (Seiso)
- Clean the workplace thoroughly.
- Inspect equipment for any issues.
- Establish a plan to keep the work area consistently clean and well-maintained.
Straighten (Seiton)
- Create a workflow map of the workspace, indicating the locations of equipment, tools, personnel, and work areas, along with the paths employees take throughout their day.
- Develop a more efficient layout, specifying the location and quantity of supplies needed. Create location indicators to accompany the map, which can be displayed in the supply area.
- Involve the team in both the mapping and rearrangement processes.
- Create a plan to reorganize the workspace, ensuring compliance with company policies, industry regulations, and safety standards.
- Obtain approval for the plan.
- Gather necessary resources and implement the changes.
- Post the new workspace map for easy reference.
Standardize (Seiketsu)
- Integrate the sort, shine, and straighten steps into the team’s daily routine.
- Encourage team members to document ideas for ongoing improvements.
- Communicate the established standards to all relevant personnel.
Sustain (Shitsuke)
- Ensure effective communication of information and provide proper training for all employees.
- Secure support from all levels within the work area.
- Regularly evaluate the program’s effectiveness.
Extra Information

Lean promotes the use of visual aids such as charts and diagrams for analysis, as well as lights and colours in the workplace, to enhance transparency, communication, and visibility.
