Some individuals have a distinct “phone voice,” a specific tone they adopt when answering calls at home or work. Your phone voice may sound quite different from what you perceive.
Many phone-based salespeople use one-piece headsets with built-in earpieces. Depending on the quality of this equipment and the telephone lines, your voice can become distorted, affecting the clarity and impact of your message. If you aim to sound sincere, you might inadvertently come across as condescending. Similarly, trying to convey commitment could be interpreted as being overly aggressive. This highlights the importance of being aware of your voice and treating it as a vital tool in your sales arsenal, alongside your computer and desk setup.
Your voice is shaped by:
- Breath Control: This gives your voice power. Good breath control stems from proper posture and taking care of your physical health, particularly your lungs and diaphragm. If you’re slumped at your desk, your breathing will be ineffective. Make it a habit to sit up straight while on the phone. You’ll find that being physically fit enhances your lung capacity and improves your speaking effectiveness.
- Tone: This reflects the quality of your voice as air moves through your larynx. Emotions like anger, surprise, or excitement are often detectable in your voice, and customers will notice these cues. While you can’t completely eliminate negative tonal qualities, you can manage them with focus and practice.
- Articulation: This refers to how you pronounce sounds using your mouth, lips, and jaw. Articulation improves significantly with practice, so if you want to change your pronunciation, regular practice can lead to noticeable improvements.
There are no strict rules regarding speech patterns. However, be mindful of your accent and vocal characteristics and consider how they affect your communication at work. While a regional accent may resonate positively in some areas, it’s crucial to ensure that it does not hinder clear communication. As workplaces become more diverse and global, the variety of accents will increase, making it essential that your customers can easily understand you.
