As a manager, you are likely accustomed to handling difficult situations, such as tardiness, missed deadlines, and interpersonal conflicts among team members. However, discussions regarding an employee’s personal appearance can be particularly challenging and are often avoided or treated lightly.

 

This one-day workshop focuses on two main themes. First, we will provide a framework for conducting these difficult conversations. Participants will also receive guidance on how to tailor this framework to fit their organization’s specific needs.

Next, we will address common challenging topics, including issues like body odour, flatulence, inappropriate clothing or hairstyles, and bad breath. To conclude the workshop, attendees will engage in role-playing exercises to practice handling these tough situations. By the end, you will be well-equipped to approach any challenging conversation with confidence.

LET’S TALK ABOUT IT!
Discussing personal hygiene with employees, while challenging, stems from a place of care and concern, ultimately helping them maintain professionalism and confidence in the workplace. Failing to address hygiene issues can lead to a hostile work environment and potential harassment lawsuits, particularly if coworkers react negatively without management intervention. Additionally, employers have a legal obligation to accommodate employees with disabilities, making it essential to approach these discussions thoughtfully to mitigate legal risks and foster respect.

GUIDELINES FOR DIFFICULT CONVERSATIONS
To effectively address sensitive issues like personal hygiene with an employee, it's crucial to choose an appropriate time and private setting for the conversation. Start the discussion with a sensitive opener that prepares the employee for the feedback, then objectively describe your observations and their impact on their professional reputation. Finally, offer solutions and invite the employee to collaborate on addressing the issue, ensuring you are well-informed about relevant policies and requirements beforehand.

OVERCOMING OBJECTIONS
Addressing personal hygiene issues can be challenging due to various barriers employees may present, such as defensiveness or denial. If an employee becomes offended, it's essential to apologize and clarify your supportive intentions, while denial may require seeking a second opinion from HR. In cases where an employee refuses to change or the issue recurs, documentation is critical for continuity and protection against potential legal claims; if allegations of discrimination arise, promptly involve HR to manage the situation appropriately.

BAD HAIR DAYS (AND WEEKS… AND MONTHS…)
When addressing personal hygiene concerns, start with a soft opener that asks for feedback and sets a private, respectful tone. Describe the specific issue observed and its potential impact on the employee’s professional image and the workplace environment. If the employee disagrees or refuses to change, outline options such as seeking advice from Human Resources or taking time off to consider the request, emphasizing the need for a solution that aligns with company standards.

ADDRESSING PIERCINGS AND BODY ARTWORK
When addressing concerns about body piercings or tattoos, follow a similar approach as with other personal appearance issues: choose an appropriate time and place, and use a soft opener to express your concerns privately. Clearly describe the issue observed and its potential impact on the employee’s professional image, especially in interactions with senior executives. If the employee is unwilling to adjust their appearance, outline the options, such as seeking advice from HR, taking a day off to consider the request, or possibly considering resignation if no agreement can be reached.

HELPING EMPLOYEES DRESS FOR SUCCESS
Addressing inappropriate attire requires choosing a private setting, starting with a gentle yet direct opener, and clearly explaining the dress code issue and its potential impact. Employees may react defensively or raise objections, so be prepared to seek HR support and remove the employee from public view temporarily if necessary. Offer resources like thrift shops or clothing swaps to assist employees who may struggle to meet dress code requirements due to limited resources.

BAD BREATH
To address an employee's chronic bad breath, if it's a minor or one-time issue, offer a solution like dentist-approved gum. For more persistent cases, use a private, straightforward conversation to communicate the concern while expressing support, such as offering to help find solutions. Typically, employees will acknowledge the issue and take steps to improve their dental hygiene, but if objections arise, follow the established framework for difficult conversations.

BODY ODOR
Address body odor issues privately and respectfully, focusing on solutions without making assumptions. For inadequate hygiene or excessive perfume use, suggest changes to maintain a comfortable environment. If there’s a medical reason or suspicion of substance use, handle the conversation with care, involve HR if needed, and offer support while ensuring compliance with company policies.

GASTROINTESTINAL ISSUES
When addressing gastrointestinal issues with an employee, have a private and respectful conversation to express your concerns and ask if they’re aware of the situation. Offer support and possible solutions, like access to breaks or discreet facilities. If the issue is related to a medical condition, involve HR to ensure appropriate accommodations and support.
