  • Maintain a balance: Ensure there’s appropriate white space around the text, avoiding cramped margins.
  • Choose legible fonts: Use one or two easily readable fonts.
  • Enhance visuals: Make diagrams and tables visually appealing and informative.

 

Additionally, review your writing with the 4Cs in mind:

Clear:

  • Did you convey your intended message?
  • Did you eliminate vague terms like “many” and “less”?
  • Are your paragraphs logically linked?
  • Are your recommendations or conclusions easily identifiable?

Concise:

  • Did you remove unnecessary information?
  • Did you use an active voice whenever possible?

Complete:

  • Is all the necessary information there?
  • Can you look at it and identify the five W’s and How?
  • Will your readers know what is going to happen next or what they are responsible for?
  • Are references included (if needed)?

Correct:

  • Did you check grammar, punctuation, and spelling?
  • Are your facts and figures all correct?
  • Are the reader’s name, title, company name, and address all correct?
